By booking a tour with Asia Backroad, you agree to the following Terms and Conditions. Please read them carefully, as they outline your rights and responsibilities.

By confirming a booking, you acknowledge that you have read, understood, and accepted these Terms and Conditions. If your booking includes multiple travelers, you are accepting these Terms on behalf of all individuals listed, including minors and persons with disabilities. The individual who confirms the booking will serve as the primary contact and is responsible for all communication and payments on behalf of the group.

By booking a tour with Asia Backroad, you agree to the following terms regarding deposits, payments, and conditions of service. All bookings are considered binding.

Booking Confirmation

For online purchases, a booking becomes binding once your selected tour has been confirmed and payment has been successfully processed. You will receive an official booking confirmation email from Asia Backroad.

Deposit & Final Payment

• A deposit is required at the time of booking.

• The deposit is non-refundable once the booking has been confirmed.

• Final payment terms will be communicated at the time of booking.

Secure Payment

All payments are processed through a secure, third-party online payment gateway. The payment amount is reserved at checkout but only charged once your tour is confirmed. If we are unable to confirm your chosen tour or start date, your deposit will be released, and we will offer an alternative tour or departure date.

Rates & Inclusions

• All prices are quoted per person and include applicable taxes and VAT.

• Asia Backroad reserves the right to adjust prices in the event of changes to official tax rates (e.g., VAT or government levies).

• Prices include accommodations, as outlined in the itinerary, and services unless stated otherwise.

Changes & Cancellations

• All requests for changes, alterations, or cancellations must be made in writing via email.

• Asia Backroad reserves the right to adjust itineraries, accommodation, or services due to circumstances beyond our control (e.g., natural disasters, strikes, or government regulations).

All payments must be completed in advance through one of the following methods:

• Online invoicing at the Asia Backroad office

• Secure online payment via credit card

• Bank transfer

To confirm your booking and secure your tour, either full payment or the required deposit must be received. Failure to complete payment may result in cancellation of your tour. We appreciate your understanding and cooperation.

Customers may request changes to their itinerary up to 15 days before the tour start date, even after final payment has been made. Please note:

• Some tours or products may have specific restrictions or earlier deadlines for changes.

• A change fee may apply for switching to a different tour/product or for significant modifications to the existing itinerary.

• If the itinerary includes non-refundable items (e.g., certain accommodations, transportation, or activity bookings), any additional costs incurred will be charged accordingly.

We recommend contacting us as early as possible to discuss any changes, so we can assist in finding the best solution.

We understand that unforeseen circumstances can affect your travel plans. If you need to cancel your tour, the following cancellation fees will apply, based on the number of days before your scheduled departure:

• 30 to 40 days prior to departure: 30% of the total tour cost will be charged

• 20 to 29 days prior to departure: 50% of the total tour cost will be charged

• 10 to 19 days prior to departure: 75% of the total tour cost will be charged

• 0 to 9 days prior to departure: 100% of the total tour cost will be charged

Additional Terms:

• Arriving late for your tour is considered a late cancellation and is non-refundable.

• No refunds will be issued if you voluntarily leave the tour early for any reason.

• If a tour is cancelled by Asia Backroad, you will receive a full refund as soon as possible.

We strongly recommend purchasing comprehensive travel insurance to cover unexpected changes or cancellations.

At Asia Backroad, we value your privacy and are committed to protecting your personal information.

We collect personal details during the booking process to ensure we can confirm and manage your travel arrangements accurately. This information is used solely for the purpose of booking and delivering your tour, and will only be shared with trusted third parties directly involved in your travel experience, such as hotels, transport providers, and local guides.

• Your personal information will never be sold or shared for marketing or commercial purposes.

• Your email address and contact details will not be forwarded to any outside parties unrelated to your booking.

We take data security seriously and follow industry best practices to keep your information safe and confidential.

All travelers booking with Asia Backroad are required to have valid travel insurance that fully covers:

• Medical expenses

• Medical repatriation

• Personal liability

• Injury or accidents

When completing our booking form, you must confirm that you hold adequate travel insurance.

If you do not have valid insurance, you may be denied participation in the tour and may not be eligible for a refund. It is the traveler’s sole responsibility to ensure coverage for the entire duration of the trip.

Our tour guides may request to see proof of your insurance before the tour begins. This policy is in place for your safety and to protect all parties involved.

Due to the active nature of our tours, all participants must be in good physical health to fully and safely engage in group activities.

Prior to the start of your tour and throughout the journey, you are required to disclose any pre-existing medical conditions or inform your tour guide immediately if you feel unwell. This information is essential to help us respond appropriately in the event of an emergency and ensure the safety of all participants.

Failure to disclose relevant medical information may affect your ability to participate in certain activities or continue with the tour.
